We are looking for a friendly, organized, and dependable Switchboard Receptionist to join our team. In this role, you will be the first point of contact for patients, providing excellent customer service while efficiently managing a high volume of calls in a fast-paced healthcare environment. Prior healthcare experience is required.

Key Responsibilities:

• Answer, screen, and route incoming calls appropriately
• Take and relay messages accurately and promptly
• Manage multiple tasks simultaneously in a busy setting
• Deliver exceptional customer service to patients and staff
• Perform additional administrative duties as assigned

Qualifications:

• Minimum of 2 years of experience in a healthcare setting
• High school diploma or equivalent required
• Medical Assistant or LPN certification preferred
• Basic knowledge of medication pronunciation
• Familiarity with medical terminology
• Strong communication and interpersonal skills
• Ability to multitask and manage a high-volume workload
• Comfortable sitting for extended periods the workday
• Proficient in computer systems and relevant software

Key Responsibilities:

• Room patients and prepare them for provider visits, including collecting vitals, reviewing medications, and documenting chief complaints
• Accurately document patient information in eClinicalWorks (eCW)
• Conduct patient callbacks regarding lab results, provider instructions, and follow-up care
• Relay messages between patients and providers in a timely and professional manner
• Assist with scheduling follow-up appointments and coordinating care
• Maintain clean, stocked, and organized exam rooms
• Support providers with basic clinical and administrative tasks

Qualifications:

• Previous experience as a Medical Assistant required
• Familiarity with eClinicalWorks (eCW) preferred
• Strong communication and interpersonal skills
• Ability to multitask and stay organized in a fast-paced environment
• High attention to detail and accuracy in documentation

Key Responsibilities:

• Coordinate and process all incoming and outgoing patient referrals
• Verify insurance coverage and obtain prior authorizations as required
• Schedule referral appointments with specialists and follow up to confirm completion
• Communicate clearly with patients regarding referral status, instructions, and next steps
• Maintain accurate documentation of referrals in the electronic medical record system
• Collaborate with providers, clinical staff, and external offices to ensure continuity of care
• Track and follow up on pending referrals to ensure timely completion
• Handle phone calls and inquiries related to referrals in a professional and courteous manner
• Ensure compliance with all regulatory and privacy standards

Qualifications:

• High school diploma or equivalent required; additional healthcare administration training preferred
• Previous experience in a medical office, referral coordination, or insurance verification preferred
• Knowledge of insurance processes, prior authorizations, and medical terminology is a plus
• Strong organizational skills and attention to detail
• Excellent communication and customer service skills
• Ability to manage multiple tasks and meet deadlines in a fast-paced environment
• Proficiency with electronic medical records (EMR) systems and basic computer applications

Work Environment:
This position involves frequent communication with patients, healthcare providers, and insurance companies. The ideal candidate will be proactive, patient-focused, and committed to ensuring a smooth referral process.

Key Responsibilities:

• Serve as the initial point of contact for all patients and visitors entering the clinic
• Greet, instruct, and direct patients and families in a courteous and professional manner
• Coordinate patient flow and assist with scheduling appointments
• Process patient registrations accurately and efficiently
• Collect and verify patient demographic and insurance information
• Obtain necessary consent forms and ensure all documentation is complete
• Explain patient account charges and assist with insurance verification
• Perform data entry for patient charges and maintain accurate records
• Communicate effectively with patients over the phone and in person

Qualifications:

• High school diploma or equivalent required
• Previous experience in a medical office or receptionist role preferred
• Strong communication and interpersonal skills
• Comfortable speaking with patients both in person and over the phone
• Ability to multitask and maintain attention to detail in a fast-paced environment
• Basic computer and data entry skills
• Ability to move up and down as needed throughout the workday
